Astro Responsibilities

1. Manage the Development and Maintenance of an electronic system that is integrated into the club systems to ensure that:

  1. Optimum utilization and financial return on the club’s investment
  2. All bookings are invoiced within a month
  3. Transparent and benchmarked Astro rates are published annually in February, for the next financial year
  4. Utilization and Revenue Reports can be provided to the main club and Hockey Committee on a monthly basis
  5. Performance against budget can be measured on a monthly basis
  6. The booking system, processes and revenue have an audit trail
  1. Promote the usage of the Astro in order to optimise its utilization
  2. Ensure that the Astro is opened timeously for bookings
  3. The Astro and the related equipment is maintained according to the manufacturer’s recommendation and standards
  4. The Lapa is clean and maintenance issues reported to the main club operations as and when they arise

Sub-Club Responsibilities Senior Club

  1. Development and Maintenance of an efficient electronic senior player registration system that is integrated into the club’s systems to ensure:
    1. All Senior members are registered with the main club
    2. All Senior members are appropriately invoiced for Main Club fees and Hockey levies
    3. All Senior member’s fees are paid timeously, if not, that the appropriate followed up steps have been implemented
    4. Clearance letters are only issued to resigning members, once all outstanding monies are received.
    5. The Senior member’s registrations and details are accurate and can be provided to the necessary Hockey governing bodies
  2. Administer the APP implemented by the sub-club to ensure that the members have access to a unified platform that provides information, fixtures, teams, events, practice times, marketing and fundraising details. The APP must be administered in such a manner that it is user-friendly and informative to the members, committee and Main Club.
  3. Submit team lists to Southern Gauteng and ensure that the Southern Gauteng database is accurate
  4. Administer the South African Hockey Association database to ensure it is accurate based on current members
  5. Attend operational meetings with the Main Club
  6. Be prepared to attend meetings with governing bodies and organisations
  7. Support the chairperson in the development of advertising and marketing initiatives
  8. Assist the committee by arranging the necessary support and equipment with the Main Club for fundraising events

Junior Club

  1. Development and Maintenance of an efficient electronic junior player registration system that is integrated into the club’s systems to ensure:
    1. All Junior members are registered with the main club
    2. All Junior members are appropriately invoiced for Main Club fees and Hockey levies
    3. All Junior member’s fees are paid timeously, if not, that the appropriate followed up steps have been implemented
    4. Clearance letters are only issued to resigning members, once all outstanding monies are received.
    5. The Junior member’s registrations and details are accurate and can be provided to the necessary Hockey governing bodies
  2. Administer the APP implemented by the sub-club to ensure that the members have access to a unified platform that provides information, fixtures, teams, events, practice times, marketing and fundraising details.   3. Assist the committee with arranging the necessary support and equipment for the annual junior tournament

General

  1. Understand of the registration process, kit, practice times and fees for the senior and junior section.
  2. Be the first point of contact for member enquiries and to be able to assist people with enquiries relating to information in point 1, above
  3. Manage the updating of the sub-sections website
  4. Kit selling times arranged, organised and communicated to senior and junior members
  5. Preparation of the monthly newsletter
  6. Provide the committee with current membership trends and changes on a monthly basis
  7. Be the initial point of contact for all communication with the Southern Gauteng Hockey Association and South African Hockey Association and to utilize the necessary system to communicate with members.

General Working Conditions

  1. A minimum of 30 hours to a maximum of 40 hours per week, including weekends, on a flexi-time basis
  2. The employee can work from home and will be refunded for telephone calls and incidental expenses after providing the relevant invoices duly recommended by the chairperson and authorised by the treasurer.
  3. The main club will accommodate the Hockey Co-Ordinator as and when required in order to facilitate an efficient working relationship with the accounts office.
